Descripción del Trabajo

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to our CEO. This pivotal role requires an individual with exceptional communication skills, a meticulous attention to detail, and the ability to manage complex schedules, sensitive information, and high-priority projects with utmost professionalism. The ideal candidate will thrive in a fast-paced corporate environment and demonstrate a strong capacity for independent problem-solving and proactive support. This is an on-site position based in our corporate office in Ciutadella de Menorca.

Responsabilidades Clave

  • Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
  • Prepare and compile documents for meetings, presentations, and reports, ensuring accuracy and timely delivery.
  • Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls).
  • Coordinate and manage special projects as assigned by the CEO, often involving cross-departmental collaboration.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Organize and facilitate executive meetings, including preparing agendas, taking minutes, and tracking action items.
  • Process expense reports and manage invoices, ensuring compliance with company policies.
  • Anticipate the CEO's needs and proactively address administrative requirements to ensure seamless operations.
  • Assist with personal tasks and errands as needed to support the CEO's overall effectiveness.

Habilidades Requeridas

  • Proven experience (minimum 5 years) as an Executive Assistant reporting directly to C-level executives.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills in English and Spanish.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
  • High level of discretion and ability to handle confidential information.
  • Proactive problem-solver with a strong ability to work independently.
  • Strong interpersonal skills and professional demeanor.
  • Adaptability and flexibility to meet changing demands in a dynamic environment.

Cualificaciones Preferidas

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Experience working within the hospitality or a related international corporate industry.
  • Proficiency in additional languages (e.g., German, French).
  • Familiarity with project management tools and executive reporting software.
